Message templates and merge fields

Templates are saved messages for SMS or email. Merge fields such as {{first_name}}, {{job_title}}, {{company}} and {{schedule_link}} fill in at send time.

Steps

  1. 1Open Settings, Templates and choose New template.
  2. 2Give it a name and pick a channel (SMS or Email). Email templates also have a subject line.
  3. 3Write the body. Click a merge field chip to insert it at the cursor.
  4. 4For SMS keep the body under 160 characters where you can, and remember the opt-out footer is added to the first text to each applicant.
  5. 5Save. The template is available from every applicant record and from bulk send.

Good templates read like a person wrote them. Short, specific, with one clear next step. A screening text that asks a yes/no question gets far more replies than a paragraph.

Available merge fields

  • {{first_name}}, {{last_name}}, {{full_name}}: the applicant's name.
  • {{job_title}} and {{location}}: from the job they applied to.
  • {{company}}: your organization name.
  • {{sender_name}}: the team member sending the message.
  • {{schedule_link}}: a fresh self-scheduling link for this applicant.
  • {{interview_time}}: the date and time of their next scheduled interview.
  • {{careers_link}}: your careers page URL.

Templates that work

  1. 01Still interested? 'Hi {{first_name}}, thanks for applying to {{job_title}} at {{company}}. Still looking? Reply YES and I will send interview times.'
  2. 02Book a time: 'Hi {{first_name}}, pick any slot that suits you: {{schedule_link}}'
  3. 03Reminder: 'Reminder: your interview for {{job_title}} is {{interview_time}}. Reply if you need to move it.'
  4. 04Not moving forward: a polite close that leaves the door open for future roles.
