Send a text or email to an applicant

Open any applicant record, choose Message, pick SMS or Email, write or select a template and send. Replies land on the record and in the shared inbox.

Steps

  1. 1Open the applicant record from the pipeline or the Candidates list.
  2. 2Choose Message and pick the channel: SMS or Email.
  3. 3Type your message or pick a template. Merge fields fill in automatically; a preview shows the final text.
  4. 4For SMS, watch the segment counter. Messages over 160 characters are sent as multiple segments, which Twilio bills separately.
  5. 5Send. The message appears on the record's timeline with its delivery status.

Every message, sent or received, is stored on the applicant record and visible to the whole team. The shared inbox shows the newest unread conversations first so nobody's reply is missed.

Delivery statuses

  • Queued: accepted by Apex and being handed to the provider.
  • Sent: the provider accepted it. For SMS, Twilio's delivery receipts update this to Delivered or Failed.
  • Simulated: SMS or email is not connected, so the message was recorded but not delivered.
  • Failed: the provider rejected it. The error is shown on hover. Common causes are an invalid number, a landline, or an unregistered sender.

Why can't I text this applicant?

The SMS option is disabled when the applicant has opted out, has no phone number, or when SMS is switched off for your workspace. Inside quiet hours you can still write the message, but it is held until the window ends.
